Privacy Policy: GTR Recruitment LTD 

1. Who We Are 

GTR Recruitment Limited operates as both an Employment Agency (for permanent placements) and an Employment Business (for temporary contracts). In both capacities, we act as a Data Controller, determining how and why personal data is processed to provide recruitment services. 

2. Information Collected 

We collect personal information you provide voluntarily, such as: 

  • Identity & Contact Data: Name, contact details (email, phone, address). 
  • Professional Data: CV, work experience, education, skills, desired pay/rate, and work preferences. 
  • Compliance Data: Information necessary for legal compliance, such as Right to Work in the UK documentation and professional references. 
  • Training Data: Information from our affiliated training division, including your training and certification details (type, number, issue/expiry date), performance, and compliance records. 
  • Third-Party Data: Information collected from third parties such as job boards or professional networking sites (e.g., LinkedIn). 
  • Technical Data: Non-personal information like IP addresses and website usage data is  collected automatically via Google Analytics to improve our website. 

3. Use of Information (Lawful Basis) 

Your data is used for the following purposes and under the following lawful bases:

Performance of a Contract (to provide you with recruitment services) and Legitimate Interests (to run our business).

Comply with legal obligations (e.g., conducting Right to Work checks and adhering to the Employment Agencies Act).

Automated  Decision Making: We do not use automated decision-making processes  (including profiling) that have a legal or similarly significant effect on you. 

4. Information Sharing 

We may share your information with the following parties: 

  • Prospective Employers/Clients: We will share your relevant profile, experience, and qualification data with a client only with your specific consent for that role or client. 
  • Trusted Third-Party Service Providers: We use third parties (e.g., IT system hosts, background check providers) to assist in delivering our services. These providers are bound by strict contractual terms. 
  • Legal and Regulatory Bodies: We will share information with the Employment Agency Standards Inspectorate (EAS), HMRC, or other bodies if required by UK law. 

5. Data Security and Retention 

We  implement reasonable security measures to protect your personal  information from being accidentally lost, used, or accessed in an unauthorised way. 

Data is generally retained only for as long as necessary for the purposes it was collected, or to  satisfy legal requirements. For unsuccessful candidates, information is retained for a period of 12 months in line with legal advice and industry standard, in case other suitable opportunities arise, unless you request otherwise. 

6. Your Rights 

Under data protection law (including GDPR), you have rights including: 

  • The right to access your personal information. 
  • The right to request the correction of your information. 
  • The right to request the erasure of your data (the 'Right to be Forgotten'). 
  • The right to object to or restrict processing in certain circumstances. 
  • The right to withdraw consent at any time where consent is the basis of processing.
